The Client
Customer: A Singapore-based educational institution

Size: Less than 1,000 employees

RPA Platform: UiPath (both attended and unattended robots)
The Problem
The client had previously implemented UiPath to automate repetitive, manual processes in its finance and operations departments. Three bots were deployed to handle a variety of tasks and the goal was to boost employee productivity by freeing up staff from low-value tasks.

Despite the initial benefits, the client faced increasing challenges with the UiPath platform, especially around cost constraints. The licensing cost of UiPath was prohibitively high, with attended and unattended bot licenses costing 8.9x and 5.6x more than Microsoft Power Automate, respectively.

The high cost of ownership led the client to re-evaluate their automation strategy, especially as their UiPath license was nearing renewal.
The Solution
Together with the client, the following key migration objectives were identified:
-
Migrate all existing UiPath bots to Microsoft Power Automate within one month and before the current UiPath subscription expire.
-
Ensure that the migrated bots retain full functionality and that end users experience no disruption.
-
Lay the foundation for future automation using Microsoft’s Power Platform ecosystem.
Our RPA platform migration methodology:
Phase 1: Assessment
Perform a comprehensive review of the existing RPA setup, including infrastructure, licensing and automated processes
Phase 2: Development
Migrate existing codebase from UiPath to Power Automate, including customizations to address platform gaps as well as optimizations to improve performance
Phase 3:
Migration
Execute the actual migration including setting up the new RPA platform, performing User Acceptance Tests, and performing the switch-over.

Phase 4:
Hypercare
Post-migration support including updating all documentations, conducting user training, and providing user support on the migrated processes.
The Results
Achieved an 86.9% reduction in automation-related costs from the second year onward
Migration completed ahead of schedule, within the stipulated one-month period
No disruptions reported; end-users experienced a seamless transition
Very systematic and know what is required for the job to be done.
