Migrating an Enterprise RPA Estate from Automation Anywhere to Microsoft Power Automate

The Problem

The client operated a sizeable portfolio of production automations built on Automation Anywhere (AA). With an upcoming platform renewal milestone, the organization saw an opportunity to rationalize its automation technology stack and migrate to Microsoft Power Automate, leveraging its existing Microsoft ecosystem.

 

The migration needed to be completed within a defined timeframe while maintaining business continuity across production processes. Several technical and operational challenges added complexity to the programme:

Business-Critical Processes
The automation estate included high-frequency and time-sensitive processes supporting day-to-day operations. Migration therefore had to minimize disruption and ensure reliable continuity throughout the transition.

 

Legacy UI Dependencies
Some automations relied heavily on screen-based interactions, image recognition, and UI click actions. These approaches can be sensitive to changes in screen resolution, application interfaces, and runtime environments, requiring careful redesign and testing.

 

Governance and Deployment Maturity
The existing automation environment had evolved over time and provided an opportunity to introduce stronger development controls, structured deployment processes, access management, and production governance as part of the migration.

The Solution

Drawing on our cross-platform RPA migration experience, we developed a structured four-phase methodology designed to balance migration speed, operational resilience, and long-term maintainability.

Phase 1: Discovery & Assessment

We established a comprehensive baseline of the existing Automation Anywhere estate, including bots, schedules, roles, dependencies, runtime requirements, credentials, and supporting infrastructure.

 

Each automation was assessed to identify migration complexity, business criticality, technical dependencies, and opportunities for standardization or redesign.

Phase 2: Pilot Migration & Validation

Rather than limiting the pilot to simple automations, we selected representative, high-use processes that would rigorously test the migration approach.

This enabled the project team to validate development standards, infrastructure, deployment procedures, exception handling, and production-readiness requirements before scaling the migration across the broader estate.

Phase 3: 

Wave-Based Migration

The remaining automations were migrated in prioritized waves based on business criticality, technical complexity, and operational dependencies.

 

Our reusable Power Automate development framework and standardized components helped accelerate delivery while maintaining consistent development, logging, exception-handling, and support standards.

Phase 4: 

Hypercare & Handover

Following deployment, migrated automations entered a structured hypercare period to confirm production stability and address any post-migration issues.

 

Detailed operational documentation, technical handover materials, and training were provided to enable the client’s internal teams to operate and support the new automation environment confidently.

Technical Modernization & Governance

The programme went beyond converting automation logic from one platform to another. It provided an opportunity to modernize the client's overall automation architecture and operating model.

 

Functional Equivalence with Improved Maintainability
The migration focused on preserving required business outcomes rather than performing a literal line-by-line translation of legacy automation logic. Where appropriate, processes were redesigned to make better use of native Power Automate capabilities and improve long-term maintainability.

 

Structured Environment Architecture
A dedicated Development, User Acceptance Testing (UAT), and Production environment model was established to provide clear separation between development and operational workloads.

Formal deployment processes were introduced to support stronger Application Lifecycle Management (ALM), version control, testing, and production governance.

 

Centralized Security and Access Governance
Role-based access controls and centralized identity management were implemented using the client’s existing Microsoft identity environment. Automation ownership and production access were structured around controlled operational accounts and clearly defined administrative responsibilities.

 

Standardized Runtime Infrastructure
Runtime machines, connectivity components, security policies, and required execution permissions were standardized to improve deployment consistency and production reliability.

Coordination with the client’s IT and cybersecurity teams ensured that required automation components could operate within established enterprise security controls.

The Results

By consolidating its automation estate onto Microsoft Power Automate, the client is positioned to achieve meaningful operational and strategic benefits.

Consolidating onto an existing strategic technology ecosystem reduces reliance on an additional standalone RPA platform and its associated licensing, infrastructure, and administration costs.
